BASIC IMAGING SERVICES
DOCUMENT INSPECTION
Not all originals are in pristine condition. Those that produce
the most accurate images have clear, contrasting text, uniformly
light or color-neutral backgrounds, and are on 8.5 x 11 inch paper.
RRMC examines the paper quality and imaging potential of sample
documents, makes recommendations that achieve a high quality image,
and returns your documents in their original condition.
PREPARATION AND HANDLING
The cleaner the document, the better the image. RRMC staff meticulously
prepares incoming paper for scanning by removing bindings, staples,
fasteners and attachments, repairing torn edges, sorting, and
orienting the pages. Your documents are then grouped into batches
averaging 35 pages in size, which are kept together throughout
the scanning process.
SCANNING
Scanning is the process of converting your paper documents or
microfiche into electronic images (called TIFF files) that can
be displayed on a computer. RRMC verifies that each image is an
exact duplicate of your original and rescans documents, if necessary,
to produce a high quality reproduction.
INDEXING
The images of your documents are categorized by RRMC in a way
that suits your business, allowing you to quickly search your
company's electronic repository. A common way to categorize your
documents for easy retrieval is by date or subject matter. If
more detailed indexes are required, we will collaborate to develop
a customized file plan and indexing structure for your documents.
IMAGE CLEANUP
Some documents, particularly those that are damaged or distorted,
may require more time and labor to produce a high quality image.
RRMC will inspect a sample of your imaged documents and suggest
options that meet your accuracy requirements.
QUALITY ASSURANCE Samples are randomly selected to verify that the correct index
was applied and that the image meets your standards. Our experienced
scanning and indexing staff play a critical part in RRMC's quality
assurance program. They review each of the images for readability,
comparing them to the original and verifying that all critical
aspects of your document were captured.
